Job Summary
The PRO Assistant provides office-based administrative support to the PRO by assisting with government-related documentation, maintaining records, monitoring renewals, and ensuring compliance with UAE regulations.
Key Responsibilities
PRO & Administrative Support
Provide support for government-related transactions and documentation.
Assist in preparing applications, renewals, cancellations, and amendments related to visas, Emirates IDs, labor permits, insurance, and other government requirements.
Support the processing of RTA-related documentation, including vehicle registration renewals, driving license renewals, vehicle inspections, traffic fines, and related records.
Coordinate with government departments, service centers, and typing centers through email, telephone, and online portals to ensure timely completion of transactions.
Maintain and organize records of official documents, licenses, permits, registrations, and renewals.
Track document expiry dates and ensure timely renewals.
Prepare and compile documents required for submission to relevant authorities.
Monitor and follow up on approvals, permits, and applications to ensure compliance with UAE regulations.
Assist the PRO with daily administrative and documentation requirements.
Coordination & Reporting
Maintain regular updates on pending transactions, renewals, and assigned matters.
Follow up on assigned tasks to ensure timely completion.
Coordinate effectively with internal departments and external service providers as required.
Perform other duties assigned by the Owner from time to time.
Requirements
Education & Experience
Diploma or Bachelor's Degree preferred.
Minimum 2–5 years of experience in a PRO Assistant, Administrative, Government Relations, or similar role.
Knowledge of UAE government procedures and documentation requirements.
Familiarity with visa processing, Emirates ID applications, labor documentation, insurance matters, and RTA transactions.
Skills & Competencies
Strong organizational and administrative skills.
Good communication skills in English.
Proficient in Microsoft Office applications.
Ability to manage multiple tasks and priorities effectively.
Professional, trustworthy, discreet, and detail-oriented.
Strong problem-solving and coordination skills.
UAE driving license is an advantage.
Willingness to work flexible hours when required.
Working Conditions
Flexible working hours based on operational requirements.
May be required to work beyond normal office hours, including weekends and public holidays, when necessary to support urgent administrative requirements.
